Terms and Conditions
These terms apply to every reservation we accept. They cover how fares are calculated, what a deposit holds, how much notice a cancellation needs, what happens if a trip runs long, and what we are and are not responsible for.
1Acceptance & scope of these terms
These Terms and Conditions govern all transportation services provided by Everett Limo Service ("Everett Limo Service", "we", "us" or "our") to any person or organization that books or uses those services ("you", "the Client" or "the Passenger"). By making a reservation by telephone, email, text, online form or any booking platform we operate, you accept these Terms on your own behalf and on behalf of every passenger travelling under that reservation.
If you book for a group, an employer, a school, a wedding party or a family, you confirm that you have authority to accept these Terms for everyone in that group, and that you will make them aware of the conduct, alcohol, smoking and safety provisions below.
These Terms apply to every reservation unless we have signed a separate written agreement with you, in which case that agreement controls where the two conflict. The version published on this page at the time your reservation is confirmed is the version that applies to that reservation.
2Eligibility & booking account
You must be at least 18 years of age to make a reservation. A person under 18 may travel, but the reservation must be made, accepted and paid for by a parent, legal guardian, school or other responsible adult who accepts these Terms on that passenger's behalf.
The person who makes the reservation is the Client and is responsible for the fare, for any additional charges incurred during the trip, and for the conduct of every passenger travelling under that reservation, whether or not that person travels.
Where you create an account with us or with our booking platform, you are responsible for keeping your login details secure and for activity carried out under your account.
3Bookings & reservations
A reservation is a request until we issue a written confirmation by email or text stating the date, pickup time, pickup address, destination or itinerary, vehicle type and quoted rate. A voicemail, an unanswered email, an unsubmitted form or a verbal enquiry is not a confirmed booking.
Availability is not held while a quote is under consideration. Dates in high demand, including weekends, prom and graduation season, New Year's Eve and holidays, are released to other clients until a deposit or a confirmed booking secures them.
We may decline a reservation where no suitable vehicle or chauffeur is available, where the requested itinerary cannot be performed safely or lawfully, or where a previous reservation by the same Client was terminated under these Terms.
4Deposits & securing your date
A deposit is required to hold the date for weddings, proms and school events, party bus reservations, multi-vehicle bookings, extended day trips and peak dates. The amount is stated on your quote and is applied in full against the final balance.
The date is not held until the deposit is received. Where a deposit is requested and not paid by the date stated on the quote, the reservation lapses and the vehicle is released.
Deposits on weddings, proms, multi-vehicle bookings and peak dates are non-refundable, because the vehicle and chauffeur are committed to your date and turned away from other work. Where a deposit is non-refundable it is stated on the quote before you pay it.
5Hourly charters, minimums & overtime
Stretch limousines, SUV stretch limousines and party buses are hourly rentals with a minimum booking of 4 to 6 hours, depending on the vehicle and the date. The minimum is charged in full whether or not the full time is used.
Hourly time runs from the scheduled pickup time until the vehicle is released, and includes travel between stops, waiting at stops and any time the vehicle is held at your request. Time does not stop while the party is inside a venue.
Waiting time. A complimentary wait of 15 minutes is included at a ground pickup. Waiting beyond that is billed at the applicable hourly rate in 30-minute increments.
Overtime. Time beyond the reserved hours is billed at the applicable hourly rate in 30-minute increments, and a partial increment is billed as a full increment. Overtime is subject to availability, because the vehicle may be committed to another reservation. Where the booking cannot be extended, the chauffeur will tell you at the time and complete the agreed itinerary.
6Short-notice reservations
We accept same-day and short-notice reservations where a suitable vehicle and chauffeur are genuinely available. Dispatch answers 24 hours a day at 425-903-8282, and short-notice requests should be made by telephone rather than email so you receive an immediate answer.
Short-notice requests to outlying parts of the service area, including Camano Island, Darrington, Gold Bar and Stanwood, depend on whether a vehicle is already free for the full round trip. We would rather tell you honestly that we cannot cover a trip than accept a booking we cannot keep.
Short-notice reservations are confirmed in writing in the same way as any other booking, and the cancellation provisions below apply from the moment of confirmation.
7Cancellation, no-show & abandonment
Cancellation notice is measured from the scheduled pickup time.
- Hourly charters, including all stretch limousine, SUV stretch and party bus reservations: cancel at least 72 hours in advance to avoid charges.
- Point-to-point trips and airport transfers: cancel at least 24 hours in advance to avoid charges.
- Weddings, proms, multi-vehicle bookings, day trips and peak dates: the cancellation window stated on your quote applies in place of the periods above, and the deposit is non-refundable.
Cancellations made inside these windows may be charged up to the full value of the reservation.
No-show. A reservation is treated as a no-show, and charged in full, where no passenger is present and we cannot reach you by telephone within 30 minutes of the scheduled pickup time at a ground pickup, or within 60 minutes of the actual landing time at an airport pickup.
Abandonment. Where passengers leave the vehicle during an hourly charter and do not return by the agreed time, the chauffeur will wait and attempt contact for 30 minutes. If contact is not made, the chauffeur may end the reservation. The full reserved time, plus any overtime accrued while waiting, remains payable.
Cancellations must be made by telephone to 425-903-8282 or in writing to book@everettlimoservice.com. A message sent by any other route is not a cancellation.
8Additional fees & charges
The following are not included in published hourly or starting-from rates and are added to your quote or your final invoice where they apply:
- Gratuity, where not already itemized on the quote
- Tolls, ferry fares, parking and airport access fees
- Meet-and-greet inside an airport terminal, where requested
- Child safety seats, per seat
- Additional stops not on the confirmed itinerary
- Waiting time and overtime, as set out above
- Cleaning, sanitation and damage charges, as set out below
- Out-of-area positioning, where a pickup lies beyond the standard service area and is agreed in advance
Where a charge is known before your trip it appears on your written quote. Where it can only be assessed after the trip, such as cleaning or overtime, it is notified in writing with an explanation before it is charged.
9Payment & authorization
A valid credit or debit card is required on file for every reservation, including reservations paid by another method, to secure the booking and to cover charges incurred during the trip.
By providing a card you authorize Everett Limo Service to charge that card for the confirmed fare, any applicable deposit or cancellation charge, waiting time and overtime, and any cleaning or damage charges assessed under these Terms.
The balance is due on or before the day of service unless you hold an approved corporate account. Declined cards, chargebacks raised without first contacting us, and balances left unpaid may result in suspension of future service and recovery of the amount owed together with reasonable costs.
10Gratuity
Gratuity is not included in published hourly rates. A gratuity of 18 to 20 percent is customary for chauffeured service and may be included in your quote or added to the final fare.
Where gratuity has already been included, it is itemized on the quote so that you are not asked to pay it twice. Gratuity is paid to the chauffeur. Any additional amount you wish to give is entirely at your discretion.
11Identification for high-value trips
For high-value reservations, multi-vehicle bookings, and bookings paid by a card that is not present at pickup, we may ask for identification matching the cardholder, or for a signed card authorization form, before service begins.
This protects cardholders against fraudulent bookings made in their name. Where the requested verification is not provided, we may decline to release the vehicle, and the reservation is treated as a cancellation inside the notice period.
12Confirmations & receipts
You receive a written confirmation when the reservation is booked, and a receipt after service. Check your confirmation as soon as you receive it. Errors in date, time, address or vehicle type must be reported immediately, because a vehicle dispatched according to an uncorrected confirmation is charged as performed.
Confirmations are sent to the email address and mobile number given at booking. If you have not received one, your reservation may not be in our system. Call 425-903-8282 rather than assuming it is booked.
13Modifying your reservation
Changes to date, time, pickup address, itinerary, stops, vehicle class or passenger count are subject to availability and may change the price. Request changes as early as possible and we will confirm in writing what can be done.
A change that materially reduces a reservation, such as cancelling one vehicle of a multi-vehicle booking or shortening an hourly charter inside the cancellation window, is treated as a partial cancellation and the provisions above apply to the reduced portion.
Additional stops requested on the day are accommodated where time and safety allow, and are charged under Additional fees above.
14Refunds
Where we are unable to provide service that you have paid for, and no substitute vehicle acceptable to you can be supplied, the amount paid for that service is refunded in full.
Where a substitution results in a vehicle class lower than the one booked, the difference in rate is refunded.
No refund is due for time reserved and not used, for a trip ended early at your request, or for a trip terminated by the chauffeur under the conduct, alcohol or smoking provisions of these Terms.
Approved refunds are issued to the original payment method, normally within 5 to 10 business days of approval depending on your bank.
15Corporate & group accounts
Businesses, venues, wedding planners and organizations that book regularly may apply for a corporate account with monthly invoicing in place of payment per trip. Accounts are subject to approval and to agreed payment terms.
An authorized account holder may nominate employees or guests who can book against the account. The account holder remains responsible for all charges incurred by nominated travellers, including overtime, cleaning and damage.
Multi-vehicle and group reservations may be subject to a separate written agreement covering deposit, cancellation and liability terms, which controls where it conflicts with these Terms.
16Seat belts & passenger safety
Seat belts must be worn where fitted, and passengers must remain seated while the vehicle is in motion.
Standing through a roof hatch or sunroof, sitting on laps or on the floor, opening doors while moving, leaning out of windows, and distracting or interfering with the chauffeur are prohibited, and are grounds for immediate termination of the trip.
The chauffeur has final authority over the vehicle at all times, including route, stops and whether conditions permit the trip to continue, and passengers must comply with reasonable instructions given for safety.
17Vehicle capacity, luggage & substitution
Stated passenger capacities are maximums for seated passengers and assume minimal luggage. Luggage capacity is limited and varies significantly by vehicle. Stretch limousines and party buses in particular have very little luggage space.
Tell us about oversized items such as skis, snowboards, golf clubs, instruments, car seats or mobility equipment when booking, so that a suitable vehicle is assigned. We are not liable for items that cannot be carried where we were not told about them in advance.
Vehicle images and descriptions on our website are representative of the vehicle class. The specific vehicle assigned may differ in make, model, year, colour or interior configuration.
Everett Limo Service operates its own sedans, SUVs, minivans, executive vans and stretch limousines. Certain vehicle types, including party buses and larger passenger coaches, are provided through licensed affiliate carriers holding the operating authority required for vehicles of that class. Everett Limo Service remains your point of contact for booking, quoting, scheduling and dispatch on all reservations.
We reserve the right to substitute a vehicle of equal or greater passenger capacity where operationally necessary, including mechanical failure, accident damage or a vehicle delayed on a prior reservation.
18Alcohol & BYOB policy
Alcohol is permitted on a bring-your-own basis only, and only where every passenger in the vehicle is 21 years of age or older and able to produce valid photo identification on request.
Alcohol is strictly prohibited on any reservation carrying one or more passengers under the age of 21, including all prom, homecoming, graduation and school-related bookings. Where any passenger is under 21, no alcohol may be brought into or consumed in the vehicle by any passenger of any age.
Everett Limo Service does not sell, supply or serve alcohol. All consumption must comply with Washington State liquor law. Open containers must remain inside the passenger compartment and may not be carried out of the vehicle.
The chauffeur may refuse boarding to, or remove, any passenger who appears intoxicated to the point of being a risk to themselves or others, and may terminate the trip without refund where this section is breached.
19No smoking & prohibited substances
Smoking of any kind, including cigarettes, cigars, pipes, vaping and electronic cigarettes, is prohibited in all vehicles.
Cannabis is prohibited in all vehicles regardless of its status under Washington State law, because passenger-carrying commercial vehicles are subject to regulations that prohibit its use and transport. Illegal drugs, weapons, fireworks and any unlawful item are prohibited.
Breach of this section results in immediate termination of the trip without refund, and the cleaning charges below apply.
20Passenger conduct & right to refuse
We may refuse service, or terminate a trip in progress without refund, where passengers are abusive or threatening to the chauffeur, to the public or to each other; damage or deface the vehicle; breach the alcohol, smoking or safety provisions of these Terms; carry prohibited items; or behave in a way the chauffeur reasonably believes to be unsafe or unlawful.
Where a trip is terminated, passengers are set down at a safe and lawful location. No refund is due, and the Client remains responsible for the full fare and any additional charges.
Where conduct endangers the vehicle or the public, the chauffeur may contact law enforcement.
21Damage, spills & cleaning fees
The Client is responsible for damage to the vehicle and its contents caused by any passenger travelling under the reservation, whether accidental or deliberate.
Charges are assessed at the actual cost of returning the vehicle to service, including cleaning, repair, replacement of damaged fittings, and lost revenue for any period the vehicle is out of service as a result. A sanitation charge applies where a passenger is sick in the vehicle.
Confetti, glitter, silly string, adhesive decorations and open flames are not permitted in any vehicle. Decorations are allowed only where agreed in advance and only where they can be removed without residue or damage.
Charges are notified in writing with supporting documentation and may be charged to the card on file.
22Prom, homecoming & student events
Student reservations must be made and paid for by a parent, legal guardian or school representative, who accepts these Terms on behalf of all student passengers.
The alcohol prohibition applies in full: no alcohol may be brought into or consumed in the vehicle on any booking carrying passengers under 21, by passengers of any age.
The itinerary is agreed in advance with the booking adult. The chauffeur follows the agreed itinerary and will not take students to destinations that are not on it without the booking adult's authorization.
The chauffeur may inspect for and remove prohibited items, may contact the booking parent, guardian or school where passenger safety requires it, and may end the trip and return students to the original pickup address where these Terms are breached. Student bookings are charged in full in that event.
23Traveling with children
Washington State child restraint law applies to every passenger in our vehicles. Child safety seats are available as a paid add-on and must be requested at booking, specifying the number of seats and the age, height and weight of each child. You may also supply and install your own seats.
Where a required child seat has not been requested and is not supplied by the passenger, the chauffeur may be unable to carry that child lawfully, and the reservation is charged as a no-show.
Stretch limousines and party buses are not suitable for installing child seats in every configuration. Tell dispatch the ages of children travelling and a suitable vehicle will be recommended.
24Unaccompanied minors
We carry unaccompanied passengers under 18 only by prior arrangement, agreed in writing with a parent or legal guardian before the date of travel.
The arrangement must name the adult releasing the passenger at pickup and the adult receiving them at the destination, with contact numbers for both. The chauffeur will not release an unaccompanied minor to anyone other than the named adult.
Where no adult is present to receive the passenger at the destination, the chauffeur will contact the booking parent or guardian and will remain with the passenger in a safe location until the situation is resolved. Waiting time is charged at the applicable hourly rate.
25Accessible transportation
Tell us about accessibility requirements when booking, including wheelchairs, walkers, scooters, oxygen equipment and any assistance needed at pickup or drop-off, so that a suitable vehicle and chauffeur are assigned and enough time is allowed.
Not every vehicle class can carry every mobility device. Folding wheelchairs and walkers can be accommodated in most SUVs and vans. We do not currently operate a wheelchair-accessible vehicle with a lift or ramp. Where your requirement cannot be met by our own fleet, we will tell you honestly at the time of booking rather than at the curb.
Chauffeurs will assist with loading and unloading mobility equipment and luggage but are not trained or insured to lift or physically transfer passengers.
26Pets & service animals
Service animals are welcome in all vehicles at no additional charge, in accordance with the Americans with Disabilities Act and Washington State law. No documentation is required, and no additional charge applies.
Pets that are not service animals are carried by prior arrangement only and must be requested when booking. Where agreed, pets must travel in a secure carrier, and any cleaning required as a result is charged under the damage and cleaning provisions above.
An undisclosed animal presented at pickup may result in the chauffeur being unable to carry it, in which case the reservation is charged as a no-show.
27Booking accuracy & your responsibility
You are responsible for the accuracy of the information you give us: pickup and drop-off addresses, the itinerary, passenger and luggage counts, flight or sailing details, and a mobile number that will be answered on the day.
Charges arising from incorrect information are your responsibility, including a vehicle dispatched to the wrong address, a vehicle too small for the party that actually presents, or a missed pickup caused by an unanswered telephone.
Tell us at booking about anything that affects access to the pickup address: narrow or unpaved lanes, steep or gravel driveways, low branches, gated entries and gate codes, restricted apartment or venue access, tight turnarounds and parking restrictions.
The chauffeur decides whether an address is safe and passable for the assigned vehicle. Where it is not, the chauffeur will arrange the nearest safe meeting point and contact you.
28Delays, weather & advisories
We plan pickup times against known traffic patterns and monitor every commercial flight, but we do not guarantee arrival at a destination by a specific time. Passengers travelling to a flight, a ceremony, a cruise or any time-critical event should allow a reasonable margin, and dispatch will recommend a pickup time on request.
Airport arrivals. Flight status is tracked and the pickup is adjusted to the actual arrival time at no extra charge. A complimentary wait of 60 minutes from the actual landing time is included for domestic arrivals and 90 minutes for international arrivals, allowing for immigration, baggage and customs. Waiting beyond that is charged in 30-minute increments.
Ferry sailings. Pickups at the Edmonds and Mukilteo terminals are timed to the sailing you provide. Sailings are operated by third parties and are subject to delay, cancellation and vessel changes outside our control.
We are not liable for delay or failure to perform caused by events beyond our reasonable control, including severe weather, snow and ice, mountain pass closures and restrictions, flooding, road closures, collisions and congestion, vehicle breakdown, civil disturbance, strikes, acts of government, power or network failure, and the delay or cancellation of flights or sailings.
Where weather or road conditions make a route genuinely unsafe, we may decline or discontinue the trip, and amounts paid for service not provided are refunded. Winter travel over Stevens Pass and on the Mountain Loop Highway is subject to conditions, closures and traction requirements, and dispatch will discuss timing and feasibility when you book.
29Lost & found
Passengers are responsible for their own property. Everett Limo Service is not liable for loss of, or damage to, items left in or loaded onto a vehicle, including luggage, electronics, instruments, gifts and documents.
Items found in a vehicle are logged and held for 30 days. Contact 425-903-8282 or support@everettlimoservice.com as soon as you notice something is missing, with the date, vehicle and a description.
Return by courier, or by a dedicated trip, is arranged at your cost. Unclaimed items are disposed of after 30 days.
30Pricing & rate adjustments
All published rates are starting-from rates. They are the lowest price at which a vehicle class is offered and are not a fixed or flat price for every trip.
- Point-to-point trips, including airport transfers, are calculated by mileage from the pickup address to the destination, together with the vehicle class and the date.
- Stretch limousines and party buses are hourly rentals with a 4 to 6 hour minimum.
Higher rates and longer minimums may apply on weekends, in prom and graduation season, on New Year's Eve, over Christmas and on other holidays and high-demand dates. Where peak pricing applies, it is shown on your quote before you book. We do not add peak pricing to a reservation after it is confirmed.
Published rates may change at any time without notice, but a confirmed reservation is honoured at the rate on its written confirmation. Where the trip actually performed differs from the one quoted, for example additional stops, a longer route, a later release or a larger party, the final invoice reflects the service actually provided.
31Nondiscrimination
Everett Limo Service provides service without regard to race, colour, national origin, religion, sex, sexual orientation, gender identity or expression, marital status, age, veteran status, or the presence of any sensory, mental or physical disability.
Passengers and chauffeurs are entitled to the same respect. Harassment or discriminatory conduct directed at a chauffeur, at another passenger or at any member of the public is grounds for immediate termination of the trip under the conduct provisions above.
If you believe you have been treated unfairly, contact info@everettlimoservice.com and the matter will be investigated and answered in writing.
32Chauffeur conduct
Chauffeurs are background-checked, licensed for the vehicle they operate, uniformed, and expected to be punctual, discreet and professional on every trip.
Chauffeurs observe applicable hours-of-service limits and will not exceed legal driving hours. On extended day trips and multi-day bookings this may require a scheduled break or a second chauffeur, which is arranged in advance and reflected in the quote.
Chauffeurs will not exceed posted speed limits, carry more passengers than the vehicle is rated for, or perform any part of an itinerary that would be unsafe or unlawful, whatever the instruction.
If your chauffeur falls short of this standard, tell us within 14 days at support@everettlimoservice.com. Every complaint is investigated and answered in writing.
33Warranty disclaimer & limitation of liability
Transportation services are provided with reasonable skill and care. To the fullest extent permitted by law, we disclaim all implied warranties, including implied warranties of merchantability and fitness for a particular purpose.
To the fullest extent permitted by Washington State law, the total liability of Everett Limo Service arising out of or in connection with any reservation is limited to the amount paid by the Client for that reservation.
We are not liable for indirect, incidental, special or consequential damages, including missed flights, missed connections, missed sailings, missed events, lost deposits, lost earnings or lost opportunity, arising out of delay or failure to perform.
Nothing in these Terms limits or excludes liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any liability that cannot lawfully be limited or excluded.
34Indemnification
You agree to indemnify and hold harmless Everett Limo Service, its owners, employees, chauffeurs and affiliate carriers against claims, losses, damages, fines and reasonable legal costs arising from your breach of these Terms, from the conduct of any passenger travelling under your reservation, or from any unlawful act committed by a passenger during the reservation.
This includes any fine, penalty or cost incurred by us as a result of prohibited items, substances or conduct in the vehicle.
35Fraud prevention
We take reasonable steps to prevent fraudulent bookings, including verification of the cardholder for high-value reservations and bookings where the card is not present.
Reservations that appear fraudulent may be held or declined pending verification. Where a booking is confirmed to be fraudulent we will cancel it, report it to the card issuer and, where appropriate, to law enforcement.
If you believe your card has been used to book with us without your authority, contact 425-903-8282 or support@everettlimoservice.com immediately and we will investigate.
36Website, intellectual property & copyright
The content of this website, including text, page structure, design, layout, graphics and photographs, is the property of Everett Limo Service or its licensors and is protected by copyright and other intellectual property laws.
You may view, download and print pages for the purpose of booking or using our services. You may not copy, republish, scrape, resell or use our content for any other purpose without written permission.
Rates, drive times and descriptions on this site are published in good faith as a guide. Drive times are estimates for off-peak conditions and are not guarantees. Where information on this site conflicts with your written quote or confirmation, the written quote or confirmation applies.
37SMS notifications
By providing a mobile number you consent to receive service messages about your reservation, including confirmations, chauffeur and vehicle details, en-route and arrival notifications, and changes affecting your trip.
These are transactional messages relating to a booking you have made, not marketing. We do not sell or share your number for marketing purposes.
Message and data rates may apply depending on your carrier and plan. Reply STOP to any message to opt out of text notifications. If you opt out we will contact you by telephone or email instead, which may mean less notice of a change on the day.
38Privacy & confidentiality
Information you provide when booking is used to provide the service, to contact you about your reservation, to process payment and to meet our legal obligations. We do not sell passenger information.
Chauffeurs are expected to treat every trip as confidential. Passenger names, destinations, itineraries and conversations are not discussed outside the business.
Our full handling of personal information is described in our Privacy Policy, which forms part of these Terms.
39Changes to these terms
We may update these Terms from time to time to reflect changes in our service, our pricing model or the law. The current version is always published on this page with the date it took effect.
The version published when your reservation is confirmed is the version that applies to that reservation. Changes are not applied retroactively to bookings already confirmed.
40Governing law & miscellaneous
These Terms are governed by the laws of the State of Washington, without regard to conflict of law principles. Any dispute arising out of or relating to these Terms or to any reservation is subject to the exclusive jurisdiction of the state and federal courts located in Snohomish County, Washington.
If any provision of these Terms is found invalid or unenforceable, that provision is severed and the remaining provisions continue in full force.
A failure to enforce any provision on one occasion is not a waiver of that provision or of any other.
These Terms, together with your written quote and confirmation and any separate signed agreement, are the entire agreement between us regarding your reservation, and supersede any prior discussion or representation.
You may not assign or transfer a reservation to another party without our written agreement.
